A leading Japanese multinational company in industrial automation and high-tech equipment development is seeking a Fleet and Facilities Administrator.

Job Purpose

Ensure the company's operational continuity through the comprehensive, efficient, and strategic management of the nationwide vehicle fleet (+300 units) and the administration of general services (facilities) for up to 4 corporate offices. The ideal candidate will coordinate relationships with key vendors, guarantee regulatory compliance, and optimize costs while maintaining high-quality internal customer service.

Key Responsibilities


1. Strategic and Operational Fleet Management (Nationwide)


  • Asset Management: Supervise and control a fleet of over 300 vehicles nationwide.
  • Maintenance: Coordinate and strictly follow up on preventive and corrective maintenance, ensuring the leasing company fully complies with its contractual obligations.
  • Claims & Incident Management: Lead internal tracking for accidents, fines, claims, and procedures with insurance companies.
  • Legal Compliance: Guarantee document control and regulatory compliance applicable to the fleet (emissions testing, vehicle taxes, permits, etc.).
  • Data Analysis: Develop and monitor key performance indicators (KPIs) regarding performance, fuel consumption, accident rates, and operating costs.

2. Facility Management and Services Administration


  • Operational Continuity: Ensure the proper functioning of services and installations in up to 4 corporate offices (access control, infrastructure, and daily operations).
  • Critical Maintenance: Identify, predict, and prevent failures in key systems such as electricity, HVAC (heating, ventilation, and air conditioning), and general maintenance.




Requisitos

Education and Experience

  • Education: Bachelor’s Degree in Engineering (Mechanical, Industrial, Electrical, or related field) — Preferred.
  • Languages: Indispensable conversational English.
  • Experience: 3 to 4 years of previous experience in fleet management and/or Facility Management.
  • Availability: Total flexibility to travel nationwide according to operational needs.


Required Technical Skills

  • Excel: Advanced proficiency.
  • Power BI: Creation and analysis of control dashboards.
  • Leasing Knowledge: Solid understanding of vehicle leasing contracts.
